Implementing a modernized CAFM solution at the University of Jena.

The Challenge

To simplify work processes associated with property and facility management, staff at the Friedrich Schiller University of Jena in Germany, decided to implement a CAFM system. They wanted a system that could provide spatial representations of the university’s buildings and help them better manage facility management expenses. They also wanted a solution that could help them automate the exchange of information between departments through web-based applications.

The Solution

The University of Jena is comprised of 230 buildings with a combined total of over 11,200 rooms and a surface area of nearly 160,000 m². Today, VertiGIS FM is used to centrally store facility data, floor plans, inventory information, and other facility related documents. Centralizing this information has made it easier for university staff to access what they need anytime and anywhere.

Information relevant to the university’s tree populations is also centralized using VertiGIS FM. This simplifies processes for planning necessary work and allows staff to record tree inspection data directly on their mobile devices. With this data, spatial representations of tree populations can be easily mapped.

With VertiGIS FM, university staff can do more with their data. Employees can effortlessly generate the queries needed to build out reports and planning documents. This has helped to enrich key processes such as construction management and occupancy planning.

The Result

The benefits of VertiGIS FM at the Friedrich Schiller University of Jena are clear. “The application is particularly appreciated for its modern, intuitive interface and ease of use,” says Dipl.-Ing. Rainer Botsch, head of the CAFM/Documentation department. “The cooperation with VertiGIS has proven itself. Many individual ideas and suggestions or feedback from the regular user conferences were implemented consistently and quickly.”
