Digitizing Workflows—End to End

End-to-end digitalization doesn’t just simplify workflows—it transforms how organizations work. That’s exactly what Scaletta Immobilien GmbH, a property management company overseeing numerous assets in Salzburg, has achieved with VertiGIS FM. Since October 2022, VertiGIS’s modern CAFM solution has served as Scaletta’s central platform for managing all facility and infrastructure processes.

The Challenge

Scaletta Immobilien GmbH is responsible for the construction, operation, and refurbishment of buildings, as well as lease management for hospitality businesses. Until recently, these tasks were managed using a mix of Excel spreadsheets, paper files, and manual processes. Invoices and key correspondence were handled entirely by hand, and scheduling was still managed using a paper‑based reminder list.

The Solution

With VertiGIS FM, Scaletta implemented a future-proof CAFM platform for comprehensive facility and infrastructure management—completed after roughly one year of project implementation.

Today, VertiGIS FM covers the full spectrum of operations:

  • Property and building management
  • Asset maintenance and inventory
  • Contract and lease management
  • Invoicing and documentation

By consolidating previously separate workflows into a single system, Scaletta achieved true end-to-end digitization of its business processes for the first time.

Key enterprise systems—such as financial accounting and document management—are seamlessly integrated via interfaces. Mobile components allow employees to capture and update data directly on site, ensuring accuracy and real-time availability.

The Results

Close collaboration between the core teams at Scaletta and VertiGIS ensured that the requirements of all specialist departments were implemented efficiently. The solution includes extensive reporting for internal controlling, as well as automated invoicing and contract processing with partners.

What once required manually consolidating multiple Excel lists is now fully automated. An interface to the accounting system was a critical requirement from day one. Today, reports are generated at the push of a button, and invoices are transferred directly to the finance system.

The impact is tangible:

  • Indexation updates for 20 parking-space lease contracts were reduced from 4–5 hours to just 30 minutes—including automatic documentation
  • Employees save valuable time through digitized, guided workflows
  • New staff can be onboarded significantly faster thanks to a centralized, transparent data foundation

Success Factors and What’s Next

From the outset, Scaletta’s executive management actively supported the project and allocated the necessary internal resources. All relevant departments were involved early on, supported by a demo implementation to clarify processes and requirements. Scaletta’s in-house IT team played a key role—especially in implementing interfaces—ensuring a smooth rollout and rapid adoption.

Next steps are already clearly defined. Scaletta plans to roll out inventory management for its in-house hospitality operations, implement operating-cost billing with VertiGIS FM, and expand the solution to additional properties and mandates.
